Gorrill Palmer is part of LJB Engineering, a national, multi-disciplinary engineering consulting firm with six main business lines which include: Transportation, Municipal, Land Development, Water Resources, Buildings Structure Design and Safety/Fall Protection Design and Installation. Our diverse expertise, client base and geographies have enabled LJB to serve clients in all 50 U.S. states and several countries.
We are currently seeking candidates to fill the position of part-time Office/Administrative Assistant working 30-35/hours per week in South Portland, ME, while being eligible for full-time benefits. You will be expected to perform a variety of administrative and accounting tasks, while reporting to the Business Operations Manager.
ADMINISTRATIVE ASSISTANT ESSENTIAL FUNCTIONS:
- Greet and welcome guests upon arrival, directing visitors to the appropriate person and office.
- Forward general mailbox phone calls, maintain office security, follow safety procedures, monitor out of the office logs.
- Ensure reception and conference room spaces are tidy and presentable, with all necessary stationery and material (pens, forms, brochures, etc.).
- Receive, sort and distribute daily mail/deliveries.
- Order office and kitchen supplies, keep inventory of stock.
- Update calendars and schedule meetings.
- Provide Administrative support to Project Managers and Senior Staff.
- Assist with marketing efforts, printing and reproduction of marketing materials and proposals.
- Assist with mailings, deliverables, shipments and coordination of courier services.
- Process certified mailings.
- Multitasking and stress management skills are essential for this position.
ADMINISTRATIVE ASSISTANT ESSENTIAL CREDENTIALS:Education:- Associate degree and/or additional certification in Office Management is a plus.
Qualifications:
- 5+ years of experience as an Office and/or Administrative Assistant.
- Working knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, etc.
- Experience with Adobe Creative Cloud a plus.
- Previous experience working in a professional services environment a plus.
- Professional attitude and appearance.
- Solid written and verbal communication along with Excellent organizational skills.
- Ability to be resourceful and proactive when issues arise.
- Multitasking and time-management skills, with the ability to prioritize tasks.
