Administrative Assistant, Senior - Pediatrics

Coordinates and manages office activities and workflow processes to ensure smooth, efficient operations within the department. Performs administrative support duties and makes work-related decisions under existing policies and procedures. Position may perform designed duties of immediate supervisors during periods of absence.

Daily Operations

  • Administers and coordinates officer services; Plans schedules and facilitates meetings. Take and maintain minutes from Pediatric Department meetings and Department Chair meetings
  • Acts as liaison with other departments, faculty, staff, students, and external organizations and responds to inquiries regarding department procedures and functions. Communicates with directors, faculty, coordinators, Assistant and Associate Deans to relay information, directives, etc. Meets with support persons from academic departments within the School of Division to coordinate functions and activities.
  • Compose, format, and type correspondence using PC applications, including word processing and spreadsheets. Compiles prepares, and maintains sensitive and important records and reports
  • Prepares faculty credentialing packets and maintains faculty hospital privileges
  • Develops, Maintains, and conducts the office's filing system and functions. Monitors, orders, and maintains required office materials and supplies. Complete travel documents and ensure the Department AmEx card is paid in a timely manner. Sort and distribute department mail
  • Other Duties as assigned.

Required Skills
  • Knowledge of institutional policies, procedures, and organizational structure
  • Demonstrated knowledge of office proficiency in various PC based applications including word processing and spreadsheets
  • Effective verbal and written communication skills. Strong composition and editing skills. Good organization and time management skills.
  • Working knowledge of accounting principles and procedures including budgetary processes
  • Sufficient supervisory and training skills to work with assigned staff
  • Demonstrate interpersonal skills necessary to establish and maintain effective working relations with internal and external contact

Required Education and Experience
  • A bachelor's degree from an accredited college or university with at least two (2) years of related experience is required.
