Job Description:


Reporting to the Director of University Advancement Events, the Associate Director of University Advancement Events will build long-term, meaningful relationships between Clark University and its alumni, parents and current students by helping to research, plan and execute high-level engagement events.


This individual will assist with a portfolio of high-profile in person and virtual events designed to engage alumni, donors, and other key stakeholders, ensuring that each event aligns with the University's mission and enhances its reputation. The Associate Director will work closely with university leadership, campus partners, and volunteers to create memorable experiences that inspire continued support and involvement with the institution.


The position requires a creative and organized individual with a high level of initiative, exceptional customer service skills, strong attention to detail, positive attitude, and the ability to adapt to a dynamic and fast-paced environment.


Key Responsibilities:


  • Event Planning and Management:
  • Develop, plan, and execute a diverse range of events, including regional alumni events, virtual events, Alumni Weekend, and special ceremonies and programs.
  • Collaborate with internal and external stakeholders to determine event objectives, themes, and goals.
  • Coordinate all logistical aspects of events, including venue selection, catering, audio-visual needs, transportation, and accommodations.
  • Ensure all events are executed within budget and meet high standards of quality and excellence.
  • Reevaluate and implement updated virtual events strategy to align with engagement goals
  • Utilize the University's financial management system to ensure all contract requirements and deadlines are met, and all vendors are paid in a timely manner.
  • Explore creative solutions to bolster engagement at events both on and off campus.
  • Stakeholder Engagement:
  • Serve as the primary point of contact for event-related inquiries, providing excellent customer service to alumni, donors, and university partners.
  • Work closely with university leadership to design and execute events that align with institutional priorities and goals.
  • Engage and manage relationships with vendors, sponsors, and other external partners to ensure successful event outcomes.
  • Marketing and Communication:
  • Develop and implement marketing strategies to promote events, including creating invitations, managing event registration, and coordinating follow-up communications.
  • Oversee the production of event materials, including programs, signage, and promotional items.
  • Collaborate with the Advancement communications team to generate communications and social media engagement for key events.
  • Team Leadership and Collaboration:
  • Supervise and mentor junior staff members, volunteers, and student workers involved in event planning and execution.
  • Work collaboratively with colleagues across the university to ensure event success.
  • Provide leadership in problem-solving and decision-making during events, ensuring smooth execution and positive guest experiences.
  • Evaluation and Reporting:
  • Conduct post-event evaluations to assess the effectiveness of each event and identify areas for improvement.
  • Utilize event data to inform future planning and strategy development.


Requirements:


  • Bachelor's degree required.
  • 2-3 years of event planning experience, preferably in higher education, and demonstrated success in reaching engagement goals.
  • Strong project management skills, with the ability to handle multiple events simultaneously and meet tight deadlines.
  • Exceptional interpersonal and communication skills, with the ability to interact effectively with diverse audiences.
  • Proficiency in event management software and tools, as well as Microsoft Office Suite.
  • Ability and willingness to travel for events as well as work evenings and weekends as needed.
  • A passion for higher education and a commitment to the mission of the university.
