Job Description
General Summary

Responsible for the operational management support to Chief Administrative Officer (CAO) and senior leadership. Collaborates and communicates with CAO and senior leaders to advance the strategic and operational objectives of the organization. Provides administrative support to the CAO and perform diversified executive assistant functions.

Principal Responsibilities and Tasks

The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.

  • Provides oversight of administrative operations efforts, including review and application of policies, procedures and guidelines as well as planning, scope definition, design, execution and delivery of hospital initiatives.
  • Responsible for the management of day-to-day operations of executive office, including the oversight of performance management, organizational development, change management, engagement, and employee relations.
  • Provides assistance in the development of strategic goals, objectives, policies, and procedures. Ensures compliance with department policies and procedures and governmental and accreditation regulations.
  • Assists with the coordination and implementation of business-wide policies and procedures designed to improve existing processes for maximum clarity, efficiency, and success.
  • Acts as the liaison to the CAO and resource for the School of Medicine Department Chairs, program directors, and senior leaders as well as for UMB professional school leaders.
  • Provides strategic support to CAO and senior leadership team through advisory role.
  • Ensures readiness of CAO for meetings, events, other engagements to include preparation of scripts, presentations, event briefings, other support materials and research as necessary.
  • Under limited supervision, coordinate and track work flow, schedules, and projects through the division and hospital to ensure paperwork is complete and/or appropriate and follow-up services are provided in a timely fashion. Coordinate schedules and supervisor's appointments and arrange for rooms, if necessary. Coordinate the processing of approval forms to eliminate bottlenecks and expedite prompt action. Answer office telephone, screen, and direct calls.
  • Acts as liaison between directors/managers/staff and the CAO and senior leadership team in the facilitation of requests for participation and input, and of concerns and questions.
  • Anticipates, identifies, and troubleshoots issues of concern or significance, exercises discretion to provide timely information and necessary updates across multiple stakeholders.
  • Effectively partners with internal stakeholders such as senior leaders, directors, managers and staff at UMMC, UMMS Corporate, UMMS affiliates.

    Qualifications
    Education and Experience
  • Master's degree in Healthcare Administration, Business, Public Health, or other related field required.
  • At least 4-6 years' experience working in an administrative role.


  • Knowledge, Skills and Abilities
  • Demonstrated knowledge of healthcare operations and regulations is required. Knowledge of MS Excel, Word, PowerPoint, E-Mail, and the Internet is preferred.
  • Demonstrated ability to oversee, schedule, coordinate and direct administrative, operational, and project activities, assign work, and monitor work is required.
  • Highly effective verbal communication skills are required to work with senior management, executive staff, and to direct various administrative, operational and project needs. Highly effective writing skills are required to compose related correspondence and to maintain necessary records.
  • Superb interpersonal skills and adept at fostering collaboration across a highly matrixed and interdependent organizational structure.
  • Ability to assess utilization and quality management problems, recommend solutions, and resolve issues in a timely, efficient, and effective manner.
  • Ability to identify problems and involve appropriate stakeholders to reach resolution.
