As part of our training model, GSPP offers a broad range of confidential and evidence-based mental health care to the Denver community through multiple specialized clinics. Our Professional Psychology Clinic (PPC) has provided low-cost, high-quality psychological services to the Denver community for over 30 years. The PPC is one of the largest psychology training clinics in the United States, with more than 200 students providing more than 11,000 hours of therapy and assessment services each year. In addition, GSPP has multiple specialized clinics, currently including: the Caring for yoU and Baby (CUB) Clinic; the Center for Performance Excellence (CPEX); the Denver Forensic Institute for Research, Service, and Training (Denver FIRST); the Sturm Center; and the Trauma and Disaster Recovery Clinic (TDRC). One way that these clinics provide services is through external and grant funding, including to survivors of torture and justice-involved youth.

Position Summary

The Graduate School of Professional Psychology at the University of Denver seeks a Clinics Billing Coordinator. This position will manage all billing items related to our multiple clinics. A primary part of this position involves billing for behavioral health services to receive insurance reimbursement, such as Medicaid. In addition, this position supports billing processes including self-pay, grants, and contracts. This individual will support billing procedures for all of the clinics but reports directly to the Director of the Professional Psychology Clinic.

This is a full-time, benefited position. The schedule can be flexible but requires some availability during normal business hours (Monday-Friday, 8:00am - 4:30pm). This position has the possibility to qualify for remote work in accordance with university policies and processes.

Essential Functions

Insurance

  • Assess and confirm client eligibility for potential payment sources, including Medicaid and state-funded grants, in collaboration with student clinicians, student employees, and clinical supervisors.
  • Perform insurance verification on an ongoing basis and communicate insurance changes to student clinicians and clinical supervisors in a timely manner.
  • Review and submit claims to insurance payers bi-weekly, follow up on outstanding claims and respond to denials within set time limits.
  • Maintain clinics credentialing with Colorado Access: Medicaid Regions 3 and 5.
  • Assist with expansion of clinics credentialing to other Medicaid Regional Accountable Entities.
  • Work with clinic staff to research and broaden list of eligible billing codes for Medicaid reimbursement.
  • Work with student clinicians and clinical supervisors to complete Authorization forms for Psychological Testing for Medicaid insured clients.
  • Complete annual audit of Colorado Client Assessment Records (CCARs) compliance/entries.
  • Self-Pay, Grants, and Contracts

  • Prepare invoices for fee-for-service grants and contracts such as the Indigent Grant and Denver County Veterans Services.
  • Collaborate with and train personnel, including student employees, to manage payments across multiple clinics, including grant-funded projects and fee-for-service contracts for clinical services.
  • Prepare training documents and resources for student employees, student clinicians, and clinical supervisors regarding billing-related procedures.
  • Delegate tasks to student employees when necessary.
  • Provide excellent communication with external payment representatives, including those from insurance, grantmaking, and billing organizations.
  • Implement collections by contacting student clinicians, clinical supervisors and clients with balances, overseeing and enforcing payment plans, and providing balance statements to clients when their services end.
  • Support the development of fee-for-service contracts and grants in collaboration with GSPP staff and faculty and the Office of Research and Sponsored Programs.
  • General

  • Track client and appointment/invoice information and share the information with GSPP or external parties as needed for billing purposes in accordance with confidentiality standards and HIPAA requirements.
  • Keep track of all billing-related paperwork including acknowledgement of services forms, payment plans, identification documents (for Medicaid insured clients), and Colorado Client Assessment Records (CCARs) (for grant covered and Medicaid insured clients).
  • Follow up with student clinicians regarding missing paperwork items and annual CCAR renewals (when necessary).
  • Perform a monthly audit of all new phone screens and acknowledgement of services forms and update client files and insurance spreadsheets accordingly.
  • Process and track payments from multiple sources (phone payments by credit card, check, cash, fax, online portal, wire transfers), including manually entering credit card payments, submitting journal entries, and ensuring that deposits are made correctly on campus. Ensure that payments are applied to the appropriate clinics.
  • Accurately input and verify all payments in the clinic electronic medical record system (Titanium), including payments from clients, Medicaid, and grants.
  • Maintain organized filing system for all physical paperwork and electronic documents (including both new and archived records).
  • Collaborate with clinic staff to develop and improve policies and procedures related to billing processes.
  • Monitor and attend to various tasks and requests from students, supervisors, and clients that are communicated via email,
  • Effectively utilize Microsoft Teams, and the clinic electronic medical record system (Titanium).
  • Prepare and analyze monthly financial and accounts receivable reports.
  • Ensure that clinic revenue protocols and client communications uphold GSPPs commitment to promoting diversity, equity, and inclusion.
  • Document all position duties and processes to allow for continuity of operations.
  • Cross-train with clinic and operations staff to provide backup coverage as needed.
  • Communicate and collaborate closely with GSPP finance staff. Work together to troubleshoot billing discrepancies.
  • Adapt to changes and expansion and participate in process improvement.

  • Knowledge, Skills, and Abilities

  • Knowledge of medical billing for Medicaid and other commercial insurance
  • Knowledge and experience working with CPT and ICD11 codes
  • Comprehensive knowledge of the entire revenue cycle
  • Strong knowledge of HIPAA and FERPA and ability to maintain confidentiality of private health and student information
  • Accounting and accounts receivable skills
  • Strong computer skills and proficiency with Microsoft Office and electronic medical records systems
  • Ability to work independently, use time productively and manage competing priorities
  • Strong interpersonal and communication skills

  • Required Qualifications

    • A high school diploma or GED or equivalent
    • 2-3 years relevant experience in office management, preferably in a healthcare setting

    Preferred Qualifications

    • An advanced degree in a related field, such as Business Administration or Accounting, or equivalent training and experience
    • 2-3 years relevant experience in healthcare billing and reimbursement
    • Previous experience billing for behavioral health services in the State of Colorado
    • Previous experience with healthcare billing software
    • Medical Billing Certification desired
    • Previous experience with Titanium

    Working Environment

    1. Standard office environment.
    2. Unexpected interruptions occur often and stress level is moderate to high.

    The salary grade number for this position is 7.

    Hourly Range:
    The hourly range for the position is $24.00 - $27.00.
