Job Description:

VOTR Client Transitions & Special Projects Coordination builds outstanding client satisfaction with Title & Registration services through responsibility for the 'end to end' coordination of various client transitions on to services and coordination of special client-driven title and registration projects. This is accomplished through:

  • Working with management team to collect, edit, analyze, and translate client's business and vehicle specific title and registration information. Ensure clear internal and external understanding of transition/project costs, parameters, requirements, and timeframes.
  • Working with VOTR management team, Sales, Account Management, Transitions, and Client Services on identification of client's title & registration needs and creation of action plan. Provide Subject Matter Expert support to sales and Acct Mgmt on clarification of title & reg needs and communication of information to clients.
  • Researching jurisdictional specific requirements and limitations within VOTR and/or with vendor and licensing authorities. Translates legislative information for communication to internal and external contacts.
  • Working with VOTR management team to establish transition/project specifics. Coordinates activities within the VOTR team necessary to ensure transition/project progresses on schedule. Advises VOTR management team of any issues that arise.
  • Preparing state-specific paperwork and mail to license authorities and vendors agencies. Process payment to license authorities and vendors and facilitate client billing. Resolve inquiries from vendors and Licensing Authorities.
  • Primary Client liaison to provide status of transition/project including delays and additional needs. Participates with VOTR management team on client conference calls, email updates, or visits as appropriate.
  • Updating department systems to accurately support client needs based on contracted services
  • Other duties as assigned

SKILLS/COMPETENCIES
  • Good project coordination skills in order to keep a variety of complex, diverse initiatives, and resources on track. Ability to coordinate work completion with minimally defined authority.
  • Demonstrate excellent verbal and written communication skills to: build support for timely and accurate completion of work, explain complicated issues to internal and external contacts, work with management to negotiate solutions that have difficult legislative restrictions, actively listen for additional requirements, and advocate on behalf of the client to minimize cost/time/client requirements in transaction processing.
  • Analytical thinking abilities to diagnose complicated problems and develop timely, cost-effective, legal solutions
  • Effective at influencing across the department through knowledge and expertise, commitment to success of team and company, integrity, enthusiasm, and demonstrate willingness to get involved and make a difference.
  • Perform various duties and adjust to changes in priorities. Demonstrate excellent organizational skills

EDUCATION and/or EXPERIENCE
  • 3 to 5 years knowledge/experience working with title and/or registration related transactions to: interpret legislative details, interface with tag agent/vendor networks, prepare transactional and payment paperwork, etc... OR Equivalent experience in like industries (i.e. banking, insurance)
  • PC literate in Microsoft Word, Excel, and Outlook
  • Bachelors degree or minimum of 8 years in business environment preferred

PHYSICAL DEMANDS
  • Employee must be able to speak, hear, see, and use hands and fingers for computer keyboard and phone.
  • Lift up to 30lbs
  • Walk and stand regularly
  • Very limited travel possible
