The First Impression Specialist/Office Assistant is responsible for answering inquires and obtaining information for general public, customers, visitors, and other interested parties. Also, provides information regarding activities conducted at establishment; location of departments, offices, and employees within organization. The ideal candidate would be: proficient in the use of a PC and Microsoft Office Suite.
MINIMUM REQUIREMENTS
Education: High School Diploma or GED
Experience: 6 months to 1 year of related experience
Travel: None
Work Schedule: This position works between the hours of 7 AM and 5 PM, Monday- Friday. Overtime may be required.
KEY RESPONSIBILITIES
- Performs daily switchboard operations and excellent guest/customer services.
- Maintains employee contact information databases.
- Greets persons entering establishment, determines nature/purpose of visit, and contacts internal person and directs them to the appropriate destination.
- Manages switchboard afterhours services.
- Maintains parking/pass information and guidelines.
- Maintains company fob processes.
- Maintains the Service Binder along with communicating changes to the overnight answering service.
- Transmits information or documents to internal and external customers, using computer or mail.
- Provides general information about organization such as location of departments or offices, employees within the organization, or services provided.
- Provides excellent customer service to vendors, internal, and external customers.
- Provides administrative assistance to Management, Supervisors, or branch/group personnel.
- Processes miscellaneous paperwork, invoices, and reports as needed.
- Types, compiles, and completes miscellaneous documents/processes that support the team.
- Serves as main contact for reception and phones.
- Serves as back up for all incoming and outgoing mail processing and distribution.
- Assists with meeting and event preparation and setup, and take down as required.
- Assists with coordination of FTI community/employee events.
- Performs other related duties as required and assigned.
- Actively participates in Faith's hiring referral and mentoring program, as appropriate.
