Hybrid Schedule: Tues/Wed/Thurs Onsite | Mon/Fri Remote
Work Location: Ruffin Court (Kearny Mesa) - San Diego, CA 92123
Work Hours: 6:00am-2:30pm - Required Schedule

Must Have Skills:

  • 3-5+ years of experience in one or more of the following fields:
    • Scheduling & Dispatching
    • Project Management/Project Coordination
    • Data Entry with a high level of accuracy
    • Supporting compliance-driven work relating to regulatory schedules or deadlines (such as inspection and maintenance schedules)
    • Supporting emergency response work
  • Intermediate Excel skills, including the ability to:
    • Export data from other systems into Excel for analysis
    • Manage, organize, and format large datasets of 500-5,000 records to draw key insights for stakeholders
    • Use the Sort tool to organize data by various criteria such as dates, numerical values, or alphabetical order
    • Use the Filter tool to isolate specific data points
    • Ensure data integrity is not disrupted when data is moved around (e.g., keeping related fields aligned, such as customer names, locations, etc.)
    • Change data formats (e.g., from Text to Number, Date formatting, etc.)
    • Adjust fonts, cell borders, and cell color for readability
    • Create and format simple tables for organizing data
    • Use basic formulas like SUM or AVERAGE
  • Attention to Detail & Analytical Skills: Ability to accurately process and manage detailed information
  • Time Management: Ability to work within deadlines and prioritize tasks
  • Communication Skills: Strong interpersonal skills to collaborate effectively with diverse teams
  • Problem-Solving Abilities: Capable of using critical thinking skills to manage unexpected issues proactively
  • Proficient in Microsoft Office Applications: Outlook, Word, Teams, Excel, etc.
  • Education: A minimum of a High School Diploma or GED equivalent is required
Nice to Have Skills:
  • Advanced Excel Skills:
    • Creating charts like bar charts, line charts, and pie charts for data visualization
    • Creating PivotTables
    • Performing lookups with VLOOKUP or HLOOKUP to match data across sheets
    • Other advanced Excel functions
  • SAP experience
Position Description:
The Gas Operations Compliance Coordinator (GOCC) will support the Gas Operations Compliance department responsible for coordinating compliance-driven schedules for inspection and maintenance work on high-pressure gas lines for key customers, such as large businesses, restaurants, hospitals, universities, shopping malls, and other critical facilities. This role will also provide support for emergency response work.

The California Public Utility Commission (CPUC) mandates strict inspection and maintenance timelines to prevent gas leaks and ensure safety compliance. The coordinator will help plan and schedule these inspections, while also supporting the dispatching of emergency response teams.

The company uses two SAP systems: one to track inspection and maintenance records ("SAP"), and another for customer billing (S/4 HANA, known as "Envision"). Data must be extracted from SAP for analysis in Excel before updates are made in the system.

Daily Responsibilities:
  • Support 3-4 Supervisors by managing tasks, prioritizing work, and ensuring clear communication of priorities
Reporting & Analysis (Excel):
  • Export data from SAP related to inspections and maintenance into Excel, handling datasets of 500-5,000 records
  • Use Excel tools (filter, sort, simple formulas) to organize and analyze data, drawing key insights
  • Change data formats (e.g., from Text to Number, Date formatting, etc.) and adjust fonts, cell borders, and cell color for readability
  • Ensure data integrity while formatting and preparing for update
  • Review and validate data with IT before updating permanent records in SAP
Coordinate Compliance Inspections & Maintenance Work:
  • Ensure all work is planned and scheduled according to CPUC regulations and deadlines
  • Use analytical and critical thinking skills to account for many factors when planning future inspections and maintenance schedules, considering workload distribution, shorter months, and customer-specific requirements
  • Distribute work across various locations to prevent field crews in a single area from becoming overloaded if an emergency event occurs in their area requiring immediate attention
  • Take into account the workload and resource availability during shorter months, such as February, or during holidays in November and December when many crews are on vacation
  • Additionally, consider the specific needs and schedules of each customer's business when planning (e.g., avoid scheduling inspections or maintenance at a shopping mall on black Friday or at a high school during busy periods when events such as prom may occur)
Dispatch Emergency Response Work:
  • Create work orders during emergency events
  • Use the dispatching system to dispatch the nearest available emergency response teams to the site
Scheduling:
  • Coordinate schedules for compliance, emergency, and construction work
  • Manage the coordination between multiple teams to perform this work, including internal and external crews, special equipment operators, engineers, and hazmat teams.
