Job Description
Under limited supervision, the Grants Coordinator/Grants Manager (Pre-Award) is responsible for the preparation, review, and submission of sponsored program research proposals from initial PI direction through submission to sponsor. Prepare accurate budgets and budget documentation using current and future salary and other cost elements; maintain familiarity with sponsoring agency regulations (NSF, NIH, DOD), as well as University policy in budget development. Become familiar with each proposal solicitation to be able to advise PIs in the preparation of correct proposal files within PennERA, NSF Fastlane, NIH Commons; Grants.gov, RIS, etc. Maintain checklists of necessary components based on sponsor guidelines as delineated in each Broad Agency Announcement; advise supervisors and PIs of required components. Prepare forms and required components for post-submission and pre-award sponsor surveys and requests. Act as liaison between faculty and Office of Research Services (ORS) and Penn Center for Innovation (PCI), especially regarding management of tight timelines; maintain accuracy in both processing and advising PIs of next steps to manage submissions. Maintain current and pending support files and records of proposal files.
In addition to the above responsibilities, the Grants Manager will assist in training, orienting and assisting existing staff and new staff.
Qualifications:
Bachelor's degree with 2-3 years of related experience (3-5 years of experience for the Grants Manager) or an equivalent combination of education and experience. Experience with pre-award requirements and a working knowledge of grant and contract policies and regulations. Ability to manage deadlines, exceptions and last-minute changes.
