Mass General Brigham Behavioral & Mental Health (MGB BMH) is the enterprise clinical service line providing strategic direction and support in collaboration with all Psychiatry Departments to integrate mental health services across the MGB network. MGB BMH seeks a Project Coordinator to support the coordination of projects related to system substance use disorder (SUD) and addiction services. A major focus of this role will be to provide administrative support for the recently awarded Bureau of Substance Addiction Services (BSAS) five-year contract (with two renewable two-year periods), which will expand hospital-based SUD services at three MGB hospitals. This position reports to the Program Director of SUD Operations.

The Project Coordinator is responsible for support and coordination of key tasks related to a state contract, in particular completing required data entry, managing distribution of supplies, and the organization of related meetings.

Hybrid Schedule: Mainly remote with occasional onsite requirements at Assembly Row in Somerville and various other MGB locations.

Responsibilities:

• Provides administrative support and coordination to a state contract:

• Using the electronic medical record and associated reports, complete primary data entry of enrollment and disenrollment client information from all three hospital sites into the state database.

• Manage the ordering, organization, and distribution of physical supplies associated with this contract to the sites including patient snacks and harm reduction supplies. Develop organizational systems for streamlining these functions to be as efficient as possible.

• Coordinates with SUD teams at the sites on the implementation, tracking, and support of centrally managed programs.

• Organizes, attends, and participates in stakeholder meetings.

• Documents and follows up on important actions and decisions from meetings.

• Prepares necessary presentation materials for meetings.

• Provides administrative and organizational support to other system SUD projects which currently include an enterprise strategic planning process and the implementation of interventions to meet MassHealth quality measures.

• Performs other duties as assigned

• Complies with all policies and standards

Qualifications
Qualifications:

• High School Diploma or Equivalent

• 1-2 years of Business Administrative Experience preferred

Skills/Abilities/Other Details:

• Knowledgeable of basic business administrative principles and project management best practices.

• Exceptional organizational skills and ability to organize time and priorities effectively, asking for direction when appropriate. Flexibility to handle multiple tasks and deadline pressures.

• Exceptional verbal, written, and presentation skills.

• Ability to work effectively both independently and as part of a team.

• Competency in Microsoft applications including Word, Excel, and Outlook. Must demonstrate exceptional computer skills (including operating systems, word processing, database, electronic mail, Internet, spreadsheets, and other office management systems).

• Ability to work on tight deadlines.

• Knowledge of file management and other administrative procedures.
