The LAS Student Academic Affairs Office is searching for a Records Advisor to serve as the primary communication and advising contact for students and academic advisors regarding degree progress. This position will also be part of team that serves as records custodians for approximately all LAS undergraduate students; assists students and other constituents with issues related to degree certification and University academic policy.

Duties & Responsibilities

  • Serves as primary college advisor for students on pending degree lists, assists students in creating degree completion plans, and counsels students who do not meet their degree requirements on paths moving forward.
  • Participates in all record-based queue activities: form reviews; email responses; degree certification, which includes degree shortage checks, distinction review and final certification; transfer applications; transfer and study abroad credit processing.
  • Participates in drop-in advising duty two afternoons per week and is available for morning advising appointments twice a week.
  • Communicates results of degree progress reviews with students and advises students on paths towards degree completion, counsels on potential coursework and major plans, and provides guidance and information about available resources to students facing difficulties.
  • Monitors degree progress after the spring grade audit process ends, determining if students have met all relevant benchmark and minimal grade standards to continue in their current major program.
  • Holds expanded advising duty shifts for students participating in the fully online Bachelor's in Liberal Studies (BLS) Program one night a week, providing after-hours advising access for off-campus, largely non-traditional students.
  • Performs other related duties as assigned to further the mission of the unit.
Required Qualifications

Bachelor's Degree. Two years of professional experience working directly with students in secondary or higher education. (Two (2) years of graduate work experience may be substituted for 1 year of professional work experience)

Preferred Qualifications

Bachelor's degree in a college of LAS major.

At least one year of experience in academic advising, counseling, academic progress monitoring, professional admissions or records processing or teaching of learning or life skills; experience advising students who are not making adequate academic progress in their major or generally; experience working with student transition and/or retention programs.

Successful candidates will have:
  • Attention to detail and ability to process large amounts of student data in a timely manner.
  • Ability to maintain organized and accurate records.
  • Intercultural skills and a commitment to inclusive practices.
  • Demonstrated ability to track and assess student academic progress.
  • Excellent interpersonal and communication skills, particularly those that enable the candidate to effectively communicate clearly with a wide range of constituencies including students, parents, faculty, staff, alumni and partners.
  • Ability to work independently, as well as collaboratively, with a wide range of on-campus and off-campus constituencies.
  • Experience with Microsoft Office Suite, Google Workspace, Zoom, web and social media, Banner, and degree audit systems.
  • Communicating Complex Concepts: Knowledge and use of summarization and simplification techniques to explain complex concepts in simple, clear language appropriate to the audience.
  • Management of Sensitive Information: Ability to handle confidential information with discretion and to adhere to federal privacy laws.
  • Using Resourcefulness and Good Judgment: Ability to apply past experience and analysis of information to arrive at sound and timely conclusions.
  • Planning and Organizing: Ability to mobilize time and other resources to get things done.
Appointment Information

This is a 100% full-time Academic Professional position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. The budgeted salary range for the position is $50,000 - $55,000. The pay offered to the selected candidate will be determined based on factors including (but not limited to) the experience and qualifications of the selected candidate including equivalent years in rank, training, and field or discipline; internal equity; and external market pay for comparable jobs. This position is eligible for a hybrid work schedule (remote work and in-person work in Champaign-Urbana each week). Sponsorship for work authorization is not available for this position.
