Job Description Summary
The Workday and UKG Training and Development Specialist is responsible for the creation, implementation, and management of comprehensive training programs to ensure that employees across the organization effectively utilize Workday and UKG systems. A key focus of this role is educating leaders and users on best practices, navigation tricks, and strategies to maximize the system's functionality for optimal efficiency and decision-making. The specialist will collaborate with stakeholders to assess training needs, develop curriculum, and ensure smooth system adoption and usage across the organization.
The Specialist serves as a shared resource across multiple departments, including HR, Finance, Payroll, Information Systems, and Supply Chain.

The Workday and UKG Training and Development Specialist will:

Training Program Development and Delivery
Responsible for designing, developing, and delivering effective training programs that enhance the use of Workday and UKG systems. Focus areas include payroll, benefits, timekeeping, HR, Finance, and supply chain functionalities. The specialist collaborates closely with department stakeholders to create customized training materials such as manuals, guides, and presentations, and delivers both in-person and virtual training sessions. Emphasis is placed on best practices, navigation efficiencies, and empowering leaders to leverage system capabilities for strategic decision-making.

Needs Assessment and Curriculum Design
Conducts needs assessments across HR, Payroll, IS, Finance, and Supply Chain to identify specific knowledge gaps and design targeted training solutions. Regular updates to the curriculum ensure alignment with system upgrades and new functionalities, with a focus on department leaders to help them optimize advanced system capabilities.

Onboarding and Continuous Learning
Oversees the onboarding process for new hires across all departments, ensuring they are proficient with Workday and UKG systems from day one. Additionally, this role develops continuous learning and refresher programs, emphasizing advanced features and tools that enable leaders to improve workflows and reporting.

Documentation and Reporting
Creates and maintains comprehensive, up-to-date training documentation, including user guides, step-by-step instructions, and e-learning modules. Tracks and reports on training progress and completion rates, offering leadership insights into program effectiveness and ensuring leaders are equipped with knowledge to support their teams.

Change Management and Communication
Plays a crucial role in supporting change management initiatives, particularly related to system upgrades and feature rollouts. The specialist communicates updates effectively, offering clear instructions and training to ensure smooth adoption across departments. Additionally, they monitor and report on training metrics to highlight program relevance and impact, focusing on equipping leaders with the advanced system skills needed for operational success.

Vendor Collaboration and External Training Resources
Partners with external vendors and subject matter experts to enhance internal training resources, ensuring a comprehensive approach to learning. Manages relationships with external training providers to ensure alignment with organizational goals and the unique needs of department leaders and users.

Additional Responsibilities
The specialist may be assigned additional duties as required to support the overall goals of the organization and the effective use of Workday and UKG systems. They will work in the best interest of Shirley Ryan AbilityLab to ensure smooth system operations and a well-trained workforce.
Reporting RelationshipsReports directly to Manager, Organizational Learning and Development, Human Resources
Knowledge, Skills & Abilities:
- Bachelor's degree in Human Resources, Education, Business Administration, or a related field required.
- 3-5 years of successful experience in Training and Development required.
- Experience with HR/payroll systems, Learning Management Systems, and e-learning design required; Workday, UKG, and Articulate experience preferred.
- Strong instructional design and facilitation skills, with a solid understanding of learning principles, training methods, and tools required.
- Advanced proficiency in Microsoft Office Suite and excellent communication, coaching, and leadership skills required.
Working ConditionsNormal office environment with little or no exposure to dust or extreme temperature.
